Document Details

The document details page shows the full extracted data, classification, client match status, and any errors for a single document. It opens when you click a row in the Documents list.

Header

The header shows:

Filename — the original filename of the uploaded document

Pipeline status badge — the current processing stage or final status

Client badge — whether the document has been matched to a client (see Client matching below)

Classification tags — the direction, category, kind, variant, and document type assigned during processing (see Document classification below)

Link client button — shown when the document is unlinked. Click to manually assign the document to a client

Client matching

When a document is processed, TaxLayer attempts to automatically match it to one of your clients. The match is shown as a badge in the header.

Matched (green)

The document was automatically matched to a client using the VAT number or company name found in the document

Unlinked (red)

No matching client was found. You need to link the document manually

How automatic matching works

TaxLayer extracts the VAT number (AFM) and company name from the document during processing. It then compares these against your client records:

If the VAT number matches a client's AFM exactly, the document is linked to that client

If the company name closely matches a client name, the document is linked with a name-based match

If neither match is found, the document is marked Unlinked

The accuracy of automatic matching depends on how complete your client records are. Adding the correct VAT / AFM number to each client record significantly improves match rates.

Manually link a document to a client

If a document is Unlinked, or matched to the wrong client:

Click Link client in the header.

The Link Client modal opens.

Search for and select the correct client.

Confirm.

You can also link multiple documents at once from the Documents list using the bulk Link client action.

Document classification

During processing, TaxLayer classifies every document into a structured taxonomy. The classification is shown as a row of colour-coded tags in the header.

Direction

Whether this is an income or expense document (green for income, orange for expense)

Category

The broad category of the document

Kind

The more specific kind within that category

Variant

The document variant

TaxLayer doc type

The precise document type (see supported types below)

Supported document types

TaxLayer can classify documents into the following types:

Sales Invoice (Goods)

An invoice for goods you have sold

Sales Invoice (Services)

An invoice for services you have sold

Purchase Invoice (Goods)

An invoice for goods you have purchased

Purchase Invoice (Services)

An invoice for services you have purchased

Credit Note (Sales)

A credit note issued by you

Credit Note (Purchase)

A credit note received from a supplier

Debit Note (Sales)

A debit note issued by you

Debit Note (Purchase)

A debit note received from a supplier

Retail Receipt

A retail receipt

Expense Receipt

An expense receipt

Proforma Invoice

A proforma invoice

Invoice / Delivery Note

Combined invoice and delivery note

A financial document the classifier could not identify precisely

Non-Financial Document

A document that is not a financial record

If a document type cannot be determined confidently, TaxLayer assigns Unknown Financial Document and you may wish to review the document manually.

The Data tab shows the structured data extracted from the document.

Each line item shows: Description, Quantity, Unit Price, Net Amount, VAT %, VAT Amount, and Line Total.

Not all documents will have all fields populated. Documents that are not invoice types may have limited or no data in this tab.

Document

The Document tab shows a preview of the original uploaded file.

  • PDFs are displayed in an embedded viewer
  • Images (JPG, PNG) are displayed inline
  • Other formats (CSV, XLSX, DOCX) are shown as a download link

Audit Trail

The Audit Trail tab shows a history of every action taken on this document, in chronological order. Each entry shows:

  • ​The action that occurred
  • ​The timestamp
  • ​Any status change (shown as previous status → new status)

Use the Audit Trail to understand when a document was processed, when its status changed, and whether any manual actions have been taken on it.

Errors

The Errors tab shows any issues found during processing.

If the document is Looks Good: the tab shows "No errors reported for this document."

If the document is Needs Review: the tab lists the specific warnings found, with a name and description for each issue.

If the document is Blocking: the tab shows the critical errors that are preventing the document from being used. Errors may include:

  • Validation failures — a myDATA rule was not met
  • Duplicate detected — TaxLayer found another document with the same key fields. The duplicate reference ID is shown so you can compare the two documents
  • Processing failure — an error occurred during extraction that prevented the document from being fully processed

Review the Errors tab to understand what needs to be corrected before the document can be used.

Troubleshooting

"Failed to load document details." Refresh the page. If the problem continues, return to the Documents list and check the document's status. If it shows Blocking, see the Errors tab.

The Data tab is empty. The document may still be processing, or it may be a document type that does not produce structured invoice data (such as a delivery note or non-financial document). Check the pipeline status badge in the header.

The document is Unlinked and I cannot find the right client. The client may not exist yet in TaxLayer. Create the client first via the Clients page, then return and link the document.

I see a "Duplicate" error. TaxLayer detected that this document appears to have already been uploaded. The Errors tab will show the ID of the original document. Open both documents and compare them to determine which one to keep.
