Document List

The Documents page shows every document that has been brought into TaxLayer across all clients. From here you can filter by status, drill into individual documents, link documents to clients, and delete documents you no longer need.

Status filters

Five tabs at the top of the page filter the list by processing status. Each tab shows a count of matching documents.

All

Every document in the system

Processing

Documents currently being analysed and validated

Looks Good

Documents that passed all checks and are ready to use

Needs Review

Documents that have warnings or incomplete data requiring attention

Blocking

Documents with critical errors that prevent submission

Additional filters

Click the Filters button below the status tabs to open a filter panel with five additional dropdowns:

Direction

Whether the document is income or an expense

Category

The document category assigned during classification

Kind

The document kind

Variant

The document variant

TaxLayer doc type

The specific document type (e.g. Sales Invoice, Credit Note)

All active filters combine β€” a document must match every selected filter to appear. The Filters button shows a count of how many filters are currently active. Click Clear inside the panel to remove all filters at once.

Documents table

The table shows one document per row with the following columns:

The document filename or identifier

Type

The document classification (e.g. Invoice, Credit Note)

Client

The client this document is linked to

Counterparty

The other party on the document (issuer or recipient, depending on direction)

Created Date

When the document was uploaded into TaxLayer

Amount

The document total amount

Status

Current processing status, shown as a colour-coded badge

Pagination

The table shows 20 documents per page by default. Use the page size selector to switch to 50 or 100. Use the arrow controls to navigate between pages. The header shows the current range (e.g., "Showing 1–20 of 150").

Opening a document

Click any row to open the document details page for that document.

Bulk actions

​

Select one or more documents using the row checkboxes to reveal the Actions menu in the table header.

Use this to assign an unlinked document (or a batch of documents) to a client in one step.

​

  1. ​Select the documents you want to link.
  2. ​Click Actions β†’ Link client for selected (n).
  3. ​The Link Client modal opens. Search for and select the client.
  4. ​Confirm.

​

All selected documents are linked to that client.

​

Delete selected documents

​

  1. ​Select the documents you want to delete.
  2. ​Click Actions β†’ Delete selected (n).
  3. ​Confirm the deletion.

​

Warning: Deletion is permanent. Deleted documents and their extracted data cannot be recovered.

​

Document statuses

​

Looks Good

​

The document passed all validation checks. The extracted data is complete and no issues were detected.

​

What to do: No action required. The document is ready to use.

​

Needs Review

​

The document was processed successfully but one or more warnings were found. This could be incomplete data, a field that could not be confidently extracted, or a non-critical rule that was not met.

​

What to do: Open the document and check the Errors tab. Review the flagged issues and decide whether any action is needed. The document is not blocked from use, but you should verify the data before relying on it.

Blocking

​

The document has one or more critical errors. This may be a validation failure, a duplicate detection, or a processing error that means the extracted data cannot be trusted.

​

What to do: Open the document and check the Errors tab for the specific error. Depending on the issue, you may need to delete the document and re-upload a corrected version.

​

Processing

​

The document is currently moving through the analysis, extraction, and validation pipeline. Processing typically takes a few minutes depending on file size and volume.

​

What to do: Wait and refresh the page. If a document remains in Processing for an extended period, contact support.

​

Troubleshooting

​

No documents are shown. No documents have been uploaded yet, or the current filters are too restrictive. Clear your filters or upload new documents.

​

A document is stuck in Processing. Processing can take a few minutes. Refresh the page. If it remains stuck after 10 minutes, contact support.

​

I cannot find a document I uploaded. Check the All tab and clear any active filters. If you know the document was recently uploaded, check the Processing tab β€” it may still be in progress.
